Windows Outlook 2002(XP), Outlook 2003 Email Instructions

This document will guide you through the configuration of Outlook 2002(XP) and Outlook 2003  for the UAA email system. To setup Outlook for use with Exchange see KB article  Using Outlook with Exchange on this site.

1.  Click Tools.

2.  Click E-mail Accounts.

3.  This will open up the Email Accounts window:

4.  Click the Add A New Email Account button, and Next

5.  This will open the account type window

POP3 and IMAP are email protocols. POP3 will download your email messages to your computer. IMAP will leave your messages on the UAA email server. See Choosing IMAP or POP3 at the end of this article.

6. Select Server Type and Click Next

7. Enter your information in the fields as follows:

 

Your Name: Enter your name as you would like it to appear in the from field of messages that you send.

E-mail Address: Enter your username and add @uaa.alaska.edu for ex anabc@uaa.alaska.edu

Incoming Mail Server: mail.uaa.alaska.edu

Outgoing Mail Server: smtp.uaa.alaska.edu

User Name: Enter your username for ex. anabc

8. Check Remember password, and enter your password if you do not want to enter your password every time that you use Outlook. Make sure that Log on using Secure Password Authentication (SPA) is NOT checked.

9. Outgoing Server Settings:  Click More Settings.

This will bring up Internet E-mail Settings window:

10. Click the Outgoing Server tab

11. Check My outgoing server (SMTP) requires authentication

12. Select Use same settings as my incoming mail Server

13. Click OK

14. Click Finish.

15. Close down and restart Outlook.

To check your email, click the Send/Receive button on the top menu bar, or select Send/Receive -> All Accounts under the Tools menu.

Configuring UAA Directory Services

You can configure the Outlook 2000 Address Book to look up contact information of members of the UAA community.

1. Click Tools

2. Click E-Mail Accounts.

1.  This will open up the Email Accounts window.

2.  Click the Add A new directory or address book button, and Click Next

 

3. Select Internet Directory Service (LDAP), and click Next

 

4.  Enter ldap.uaa.alaska.edu as the LDAP server.

4. Click More Settings.

5. Select the Search tab

 

6.  Enter o=uaa.alaska.edu,o=isp for the Search base:

7.  Click OK

8.  Click Next

9.  Click Finish

You will need to restart Outlook to use the new directory settings.

To look up a UAA email address, select Find People in the Address Book.

Choosing IMAP or POP3

POP3 (Post Office Protocol) downloads all of your new e-mail messages from the server to your computer, and stores them locally. When the download is complete, the messages are deleted off the server by default. If you choose to leave the messages on the server you will need to make sure that you do not exceed your disk quota.

 

POP3 is a better choice if you store a lot of mail. If you need to check mail from other systems use the web interface, and all of your messages will still download to your computer the next time you check your mail with Microsoft Outlook.

 

IMAP (Internet Mail Access Protocol) leaves your messages on the server. Each time that you view a message it retrieves that message. When using IMAP you need to make sure that you do not exceed your disk quota.

 

IMAP is a better choice if you need access to all of your email messages from multiple computers.
